Your yard data, looked after as carefully as your horses
Your horses’ records, your owners’ contact details and your care history are your working capital. Here, without the jargon, is how StallDesk hosts, backs up and protects them.
The essentials at a glance
| Hosting | OVHcloud servers located in France |
| Separation | Each yard has its own database and its own file storage |
| Backup | Every night, then an encrypted copy off the server, in France |
| Backup retention | 7 daily, 4 weekly and 6 monthly copies |
| Team access | A personal code for each person, never stored in plain text, and access levels |
| Audit trail | A log of creations, changes and deletions, with who made them |
| Fonts and trackers | Fonts hosted on our own servers, no advertising or ad trackers in the app |
| GDPR | Data processing agreement signed before you start; you remain the owner of your data |
Hosted in France
The app and its data are hosted by OVHcloud, in a data centre in France. Emails sent by StallDesk (reminders, daily report, weekly report) go through Scaleway’s email service, also in France.
Each yard has its own database and its own storage for documents and photos. One yard’s data is never mixed with another’s.
A backup every night, checked every month
Every night, each yard’s database and documents are backed up. The backup is then encrypted on our servers and copied off the server to Scaleway storage in Paris: the provider holding this copy only sees unreadable blocks.
We keep seven daily, four weekly and six monthly copies. Every month, a check reads back and decrypts part of the copies to make sure they can genuinely be used. A full restore, database and files, was rehearsed before the service opened to the first yards.
- A single yard can be restored on its own, without affecting the others
- After a restore, all sessions are closed and devices resynchronise
Everyone accesses what concerns them
Every team member logs in with their own six-digit code. Codes are never stored in plain text: only a hash is saved. After several wrong attempts, access is locked for a while; an inactive session closes by itself. Documents (passports, prescriptions, contracts) are only accessible to people who are logged in.
Access levels decide what each person can see and change. A log records who created, changed or deleted a piece of information, and when. Owners, for their part, only have access to their horse’s portal and to what you choose to share.
- The log is anonymised after twelve months, then deleted
- A person can be erased from the software at their request
Keeps working when the signal drops
A yard isn’t an office: the Wi-Fi often gives up halfway down the aisle. StallDesk keeps today’s data on the device so it stays available, and queues any entries made offline. They are sent automatically as soon as the connection returns, and a banner always shows how up to date the displayed data is.
Artificial intelligence, only if you want it
Some features use an artificial intelligence model: creating a record from a photo of a passport, reading a photographed prescription, writing the weekly analysis for a horse being tracked. They are triggered by a user, one image at a time, and never in bulk.
These features go through a specialist sub-processor, named in the data processing agreement, which may process data outside the European Union. A warning is shown before anything is sent. They are optional: they can be switched off for your yard, and the rest of StallDesk works without them.
GDPR: you stay in control of your data
For your yard’s data, you are the controller and StallDesk acts as processor. A data processing agreement in line with Article 28 of the GDPR is signed before anything starts. It sets out our confidentiality and security commitments, and the list of our own sub-processors.
| OVHcloud | Server hosting, France |
| Scaleway | Email sending, France |
| Scaleway | Encrypted backup storage, Paris |
| AI provider | Optional artificial intelligence features, possible processing outside the EU, specified in the agreement |
Questions about data
Who can see my yard’s data?
Your team members, according to the access level you give them, and your owners for anything concerning their horse. The StallDesk team only accesses your data for support and operations, under the data processing agreement.
Is my data used to train an artificial intelligence?
StallDesk does not use your data to train a model. The AI features are optional and only process the image or text you submit to them, at the moment you do so.
What happens if I leave StallDesk?
Your data belongs to you. From the settings, you can download a full backup of your yard at any time. The terms for returning and deleting data at the end of the contract are set out in the data processing agreement.
Does my team need to create accounts with a password?
No. Each person receives a personal code, which is easier to enter on a yard tablet. Codes are stored as a hash, never in plain text.
A specific question about your data?
We’ll answer with the documents to back it up: data processing agreement, record of processing activities, backup policy.
